How to Go from 200 Business Cards to an Organized Contact List in 30 Minutes

You have a pile of business cards. Maybe they're in a shoebox. Maybe they're rubber-banded in a desk drawer. Maybe they're scattered across three different bags. You've been meaning to deal with them for months.

Let's deal with them right now. This process takes about 30 minutes for 200 cards.

What You'll Need

• Your phone with a card scanning app installed (Nexio are all solid options)
• A flat surface with decent lighting
• 30 uninterrupted minutes

That's it. No computer required for the scanning step, though you'll want one later for organizing and exporting.

Step 1: Sort Into Three Piles (5 minutes)

Go through your cards quickly and sort them into three piles:

Keep: People you remember, people you might contact, people from recent events.

Maybe: Cards where you're not sure who they are or whether they're relevant.

Toss: Duplicates, outdated cards (companies that no longer exist, people who've moved on), and cards from people you'll genuinely never contact.

Throw away the Toss pile. Put the Maybe pile aside. We'll deal with the Keep pile first.

Step 2: Scan the Keep Pile (15 minutes)

Open your scanning app. Work through the Keep pile one card at a time:

1. Place the card on a flat surface.
2. Take a photo.
3. Check that the app extracted the details correctly (name, company, email, phone).
4. Fix any errors (OCR isn't perfect, especially with unusual fonts or layouts).
5. Add a one-line note if you remember something about the person.
6. Move to the next card.

• If a card is badly damaged or handwritten, just type the info manually. It's faster than trying to get OCR to read it.

Step 3: Handle the Maybe Pile (5 minutes)

Go through the Maybe pile. For each card, ask: "Is there any realistic scenario where I'd contact this person in the next year?"

If yes, scan it. If no, toss it.

Most of the Maybe pile ends up in the trash, and that's fine. Better to have 120 useful contacts than 200 with 80 strangers mixed in.

Step 4: Tag and Organize (5 minutes)

Now open your scanned contacts and add some structure. Most scanning apps let you create groups or tags. Useful categories:

• By event: "CES 2026," "Startup Mixer June," "Client meetings"
• By type: "Potential client," "Vendor," "Industry contact"
• By priority: "Follow up soon," "Keep in touch," "Reference only"

You don't need all three categorization systems. Pick one and apply it. You can always re-categorize later.

Step 5: Export (2 minutes)

Export your contacts as a CSV file or sync them to your phone's contact list. This step ensures your contacts aren't trapped inside a single app.

If you use a CRM (HubSpot, Google Contacts, or even a Google Sheet), import the CSV there. Now your contacts live in a system you'll actually access regularly, not just in a scanning app you opened once.

The 30-Minute Result

You started with a pile of 200 cards and a vague sense of guilt. You now have:

• A searchable digital contact list
• Notes attached to the contacts you remember
• Cards sorted by event, type, or priority
• A backup export in CSV format
• An empty desk (or drawer, or shoebox)

The whole thing took 30 minutes. Less time than a Netflix episode.

Going Forward
